What to do before your first lead

Wait to be approved
  1. Nothing to do here yet - whoever runs the agency has to approve your account before you can sign in.
  2. You do not have to wait, though. Steps 2 to 4 all happen on Cal.com, so you can do those now.
You will be able to sign in once you are approved. Everything below is waiting for you when you are.

Create your free Cal.com account
Open Cal.com sign-up →
  1. Sign up with your email, or with Google.
  2. Pick any username - this becomes part of your booking link.
  3. When it asks which plan, choose the free individual one.
  4. Follow its setup until it asks to connect a calendar, then connect the one you actually use - Google, Outlook, whichever.
The free plan does everything you need. Nobody will ask you for a card. Connecting your real calendar is what stops a lead booking a slot when you are already busy.

Set the hours you will answer the phone
Open Availability →
  1. Click your schedule - it is called Working Hours unless you renamed it.
  2. Set the days and times you will genuinely pick up.
  3. Check the time zone at the bottom is yours.
  4. Click Save.
Leads book themselves straight into these slots. Anything you leave open is a call you have agreed to take.

Make the call come from your number
Open Event Types →
  1. Cal.com starts you with a few events. Pick the 15 min or 30 min one - not the one marked Hidden.
  2. If the one you want does say Hidden, tap the beside it and turn hiding off first.
  3. Open it and stay on the Basics tab.
  4. Under Location, open the dropdown and choose Phone call.
  5. Type your own mobile number into the box that appears underneath.
  6. Leave Display on booking page ticked.
  7. Click Save.
Two things break here, both silently. A Hidden event cannot be booked at all, so the link the assistant texts would land your lead on a page saying it does not exist. And this number is the one shown to the lead as where the call comes from - get it wrong and they will not recognise the phone when it rings.

Ask the lead for their number, not their email
Open Event Types →
  1. In that same event, click Booking form in the left-hand menu.
  2. At the top, beside Confirmation, choose Phone.
  3. Check that Phone number now says Required and Email address says Hidden.
  4. Click Save.
This is what lets a lead book without typing anything: the assistant fills their name and number in for them, and those are the only two questions left. Leave it on Email and they are asked for an email address instead - which is not prefilled, is not what they expect from a text message, and is where people give up.

Put your booking link into your account
Open Event Types →
  1. On that same event, click the copy link icon next to it.
  2. Once you can sign in, open Account and paste it into Booking link.
  3. Click Save.
This is the link the assistant texts your leads. Until it is set, your leads book onto the agency's calendar instead of yours.

Send your bookings back to this portal
Open Cal.com webhooks →
  1. Paste the Subscriber URL below into the box of the same name.
  2. Leave Event Triggers as it is.
  3. Paste the Secret below into the Secret box.
  4. Click Create.
  5. Your Account page will say Connected once Cal.com has reached us.
Both values will be waiting on your Account page once you can sign in.
Cal.com does not tell this portal anything on its own. Skip this and your calendar still works perfectly - but nothing you book ever shows up here, for you or for whoever gave you the lead.

Check your name and mobile number
  1. Open Account once you can sign in.
  2. Check Your name is how you want to be introduced.
  3. Check Mobile number is the phone you will actually call from.
  4. Click Save.
The assistant tells every lead that a licensed agent will call them, by name, from that number. If either is wrong, that promise is wrong.
